Opportunity Description

Our client is currently in need of an Administrative Assistant to support a busy team.

Job Duties

  • Perform administrative functions including document management
  • Scheduling and coordinating meetings
  • Preparing and submitting timesheets
  • Handling conference registrations, travel plans, and performing general clerical functions.
  • Correspond with partners, staff and leaders, vendors, consultants, and other stakeholders in response to inquiries
  • Screen, prioritize, and route calls and email inquiries
  • Act as “super-user” for GoTo Meeting, including training new users on functionality
  • Serve as a primary and back-up resource to staff and management for use of GoTo, including hosting and moderating webinar sessions as needed.
  • Support on-site meetings including booking conference rooms/space, handling meeting RSVPs, planning for and greeting visitors, and arranging for catering.
  • Create meeting agendas, coordinate materials/handout production, and take and produce meeting minutes.
  • Proactively monitor and report on the status and/or progress of assigned projects and functions to all stakeholders including appropriate escalation.
  • Present reports defining project progress, problems and solutions.
  • Provide general administrative and clerical support


Bachelor's Degree Required.

Experience & Skills Required

  • Minimum of 5 years of relevant experience supporting a senior management team.
  • Must have a high level of professionalism and judgment regarding sensitive and confidential information
  • Excellent communication (verbal and written) skills to interact with all levels of management
  • Requires advanced Microsoft Office skills including proficiency with Excel, Word, and Powerpoint.
  • Depth of experience with "Go To Meeting"
  • Experience with Salesforce
  • Ability to take meeting minutes
  • Health services experience a plus
