Opportunity Description

Performs Accounting & Administration duties for the purpose of assisting the Fleet Maintenance Manager in performed of their work and the efficient operation of the maintenance department.

Job Duties

  • Ensure all maintenance costs are captured properly in CMMS including, labor, parts, and vendor invoices.
  • Participate in CMMS modifications and conversions.
  • Onboarding of new equipment and vehicle specifications into CMMS system. Retirement of assets upon sale in CMMS to maintain an accurate inventory.
  • Ensure that approval & backup documentation for all asset purchases, disposals, and leases are completed and filed properly. Coordination with accounting department on Fixed Asset additions & deletions.
  • Responsible for completing Fleet accounting tasks for month end close, including job & equipment costing.
  • Filing all IFTA, HUT, and DOT monthly, quarterly, and yearly returns as required.
  • Coordinating with Fleet Administrator on the status of NY HUT decals, IFTA renewal, UCR filing, etc.
  • Analyze, develop, and maintain current internal rental rates for vehicles and equipment.
  • Provide reports required to analyze assets utilization and lifecycle costs.
  • Work with leadership to develop Key Performance Indicators (KPI) report(s) utilizing CMMS data. 
  • Define and produce standard maintenance reports on a weekly, monthly, and as needed basis.
  • Assist the planners, schedulers, and any other personnel in the Fleet Maintenance Department in supporting them in the completion of their work activities.
  • Performs other functions as requested by the Fleet Manager.
  • Review all vendor invoices associated with Fleet Maintenance and submits them to Fleet Manager for approval.

Education

High school diploma or equivalent. Bachelor’s degree in Accounting or similar field of study preferred

Experience & Skills Required

  • Administrative experience in maintenance transportation construction or combination of experience and education
  • Knowledge of office procedures and basic accounting procedures; data input
  • Maintain confidentiality of records and correspondence
  • Strong computer skills – Strong Excel, Proficient in MS office & understanding of complex data systems
